Website and Office Texting Privacy Policy

This policy explains our handling of website inquiries and office texts. Patient health information is also governed by our Notice of Privacy Practices and applicable health privacy laws. This website policy does not reduce those protections.
Information and purposes
When you contact the practice, we may receive your name, contact details, preferred contact method, inquiry, SMS consent or refusal, and information needed to respond. Messaging systems may process message content, delivery data, timestamps, and opt-out records. Website services may process IP addresses, browser or device details, security logs, and usage information to operate and protect the site.
We use this information to respond to inquiries, arrange appointments, manage forms and office administration, honor communication choices, investigate technical problems, and meet legal obligations. We may communicate with insurance or credentialing business contacts about practice administration. The office texting program is informational and is not used for marketing or clinical advice.
Information you should not submit
Do not send diagnoses, symptoms, medication details, insurance identifiers, payment card details, records, or photographs through ordinary website forms, email, or SMS. Use the approved patient portal or ask the office for a secure method. Even a request for psychiatric care may contain protected information. A warning on a form does not make the information non-sensitive or waive your rights.
Our contact page is not an emergency service. Call 911 or go to the nearest emergency department for an immediate medical or safety emergency. Call or text 988 for the Suicide & Crisis Lifeline; 988 does not replace 911 for an immediate emergency.
Sharing and service providers
Approved providers of hosting, communications, records, billing, and other practice services may process information for their assigned functions. When a service provider is a business associate, we require a business associate agreement and appropriate safeguards before permitting the relevant health-information use. A vendor's advertising or a platform setting alone does not establish compliance.
We may disclose information as required or permitted by applicable law, with required patient permission, and as described in the NPP. We do not sell patient health information. We do not share mobile opt-in information or text message consent with third parties or affiliates for their marketing or promotional purposes. Service providers may process it only as needed to support the messaging service and lawful administration.
Your choices
Office SMS is optional. Reply STOP to stop office texts; for help, reply HELP, call (312) 426-2705, or email info@dolomitepsych.com. You may also withdraw permission by another reasonable method communicated to the office. We honor the request and arrange an alternative contact method. A single non-promotional confirmation may be sent. Stopping texts does not cancel appointments or care.
Tell us if your number changes or a phone is shared. A text can reveal the practice name, an appointment, or other information to someone with access to a device or phone account. We may move a discussion to the patient portal or another approved channel to protect your information.
You may request correction of contact details or ask about privacy by contacting the office. Health record access, correction, restriction, accounting, and complaint rights are explained in the NPP. We verify identity and authority before releasing or changing sensitive information.
Cookies and other technologies
Website functions may use cookies or similar technologies for security, navigation, preferences, and service operation. See the Cookie and Tracking Technologies Notice for the practice's limits on optional technologies and how to manage browser settings. We do not authorize advertising pixels or session replay to collect patient information from intake, appointment, portal, or other sensitive workflows. Enabling an optional tool requires prior privacy review and any legally required consent.
Retention and safeguards
We retain records for their legitimate operational purpose and applicable legal, professional, contractual, and preservation requirements. Clinical records, consent histories, and opt-out suppression records may need to be retained even when you stop using a channel. We securely dispose of information when retention is no longer required and no legal hold applies. A request to delete does not override required health record retention.
Administrative, physical, and technical safeguards are selected for the information and workflow. No system is completely secure. Links to outside sites have their own privacy terms; review them before submitting information. We do not control an outside site's practices merely by linking to it.
Children updates and contact
The public website is for general practice information and is not a children's interactive service. Minors' care and records are handled through approved clinical workflows under applicable law. If a child submits sensitive information, contact the office for help; do not send additional sensitive details by ordinary email.
We may update this policy. The effective date identifies the current version. Material changes to health-information practices also require any notice or consent required by law.
